Scope of Services
The contracted deliverables include:
Rehearsal architecture
- Build the season-long rehearsal block framework across camps, spring training, and tour, including block length, caption allocation, and full-ensemble time.
- Publish the daily and weekly block schedule to caption leads and corps administration in advance of each rehearsal period.
- Adjust block structure in response to competitive calendar changes, show design revisions, and ensemble readiness.
Full-ensemble execution
- Serve as the timing and flow lead during full-ensemble rehearsal segments and run-throughs.
- Manage transitions between caption blocks, ensemble blocks, and breaks so contracted rehearsal time converts to productive repetitions.
- Coordinate the sequencing of full-ensemble runs, including reset timing, staging, and repetition targets agreed with the design and caption teams.
Caption integration
- Facilitate coordination among brass, percussion, color guard, and visual caption leads on shared ensemble objectives for each rehearsal period.
- Identify and surface conflicts in caption time requests before they reach the rehearsal floor.
- Provide the design team with structured feedback on ensemble-level integration issues.
Rehearsal site and logistics interface
- Coordinate with the tour and operations team on field access windows, equipment move-in and move-out timing, and site-specific constraints affecting block design.
- Communicate schedule changes to caption leads and corps administration through the organization's designated channels.
Season documentation
- Maintain a record of executed rehearsal blocks and repetition counts for each period.
- Deliver an end-of-season summary of the ensemble rehearsal framework, including recommendations for the following season.
Contractor Qualifications
Required
- Demonstrated experience coordinating rehearsal operations for a competitive marching ensemble, drum corps, or comparable large performing ensemble.
- Working fluency across brass, percussion, color guard, and visual captions — enough to sequence their time credibly, not necessarily to teach any of them.
- Ability to build and hold a schedule under changing conditions, including weather, travel disruption, and design revision.
- Clear, direct written and verbal communication with staff, administration, and members.
- Availability for the full contracted schedule of camps, spring training, and tour dates identified in the Statement of Work.
- Successful completion of a criminal background screening and compliance with Eclipse's youth protection requirements as a condition of engagement.
- Valid driver's license and reliable transportation to contracted rehearsal and tour sites.
Preferred
- Prior service as an ensemble coordinator, program coordinator, or rehearsal coordinator with a DCI, DCA, WGI, or comparable competitive organization.
- Experience with drill and score reading sufficient to anticipate ensemble integration points.
- Familiarity with scheduling and communication tools used across a distributed staff.
Engagement Terms
This is an independent contractor engagement, not employment. Applicants should understand the following before applying:
- Compensation: [COMPENSATION STRUCTURE AND AMOUNT TO BE DETERMINED]. Fees are negotiated and fixed in the Statement of Work and are paid against contractor invoice in accordance with the agreed payment schedule.
- Tax treatment: Eclipse does not withhold federal, state, or local income tax, Social Security, or Medicare from contractor fees. The contractor is solely responsible for all applicable self-employment and income taxes. Eclipse will issue Form 1099-NEC for the calendar year in accordance with IRS reporting thresholds.
- Benefits: The contractor is not eligible for employee benefits, paid leave, workers' compensation coverage as an Eclipse employee, or unemployment insurance through Eclipse.
- Control of work: The contractor controls the manner and means of delivering the contracted services. Eclipse specifies the result — a functioning ensemble rehearsal framework delivered across the contracted dates — not the process by which the contractor achieves it.
- Tools and equipment: The contractor supplies their own equipment, including computing devices, communication tools, and scheduling software, unless otherwise specified in the Statement of Work.
- Non-exclusivity: The contractor is free to provide services to other organizations, including other performing arts organizations, provided such engagements do not conflict with the contracted Eclipse dates or the confidentiality terms of the agreement.
- Insurance: The contractor is responsible for maintaining their own insurance coverage appropriate to the services provided. Coverage requirements, if any, will be specified in the contractor agreement.
- Agreement required: Engagement is contingent on execution of Eclipse's Independent Contractor Agreement and the associated Statement of Work, along with a completed Form W-9.
